We are the “data controller” responsible for your personal data.

The information we collect

Information you give us. When you complete a contact form, request access to our speaker visualiser, or email us, we collect the details you provide, typically your first name, company name, email address, and anything you include in your message.

Information collected automatically. When you use our website we collect standard technical and usage data such as your IP address, browser and device type, pages viewed, referring source and time spent on the site. This is gathered through cookies and similar technologies (see Cookies below).

We do not intentionally collect any special category (sensitive) personal data, and we do not knowingly collect data from children.

How and why we use your information

We use your personal data for the following purposes and on the following lawful bases under the UK GDPR:

• To respond to enquiries and provide our products/service, to reply to your contact or visualiser request and manage our relationship with you. Lawful basis: legitimate interests, and/or steps taken at your request prior to entering a contract.
• Marketing communications, where you have opted in, to send you updates about Stencil Audio via our CRM (HubSpot). Lawful basis: consent. You can withdraw consent or unsubscribe at any time using the link in any marketing email.
• Analytics and advertising, to understand how visitors use the site and to measure and improve our marketing (Google Analytics 4 and the Meta/Facebook Pixel). *Lawful basis: consent, given via our cookie banner.*
• Security, legal and administrative purposes to protect our website, keep records and comply with our legal obligations. *Lawful basis: legitimate interests and legal obligation.*

Cookies and tracking

Our website uses cookies and similar technologies. Non-essential cookies (analytics and advertising) are only set **after you consent** through our cookie consent banner, managed via Elementor. You can change or withdraw your cookie preferences at any time using the banner/settings link on the site.

• Cloudflare – hosting/delivery of our interactive speaker visualiser.
• Adobe Fonts / Google Fonts / CDN providers – delivery of fonts and website assets.

We may also disclose personal data where required by law, or to protect our legal rights.

International transfers

Some of our providers (including HubSpot, Google, Meta and Cloudflare) are based outside the UK, and your data may be transferred to and processed in countries such as the United States. Where this happens, we rely on appropriate safeguards such as the **UK International Data Transfer Agreement / Addendum** or the equivalent Standard Contractual Clauses to keep your data protected.

How long we keep your data

We keep your personal data only for as long as necessary for the purposes set out above. Enquiry and CRM records are generally retained for [e.g. 24–36 months] after our last contact, unless you ask us to delete them sooner or we are required to keep them longer for legal reasons. Analytics data is retained in line with the settings of the relevant tool.

Your rights

Under the UK GDPR you have the right to:

• access the personal data we hold about you;
• request correction of inaccurate or incomplete data;
• request erasure of your data (“right to be forgotten”);
• restrict or object to our processing;
• data portability (receive your data in a portable format);
